How to Organize the Team in Stores (Multi-Store and Assignment)
If your company operates more than one physical unit, branch, or separate warehouse (e.g., Downtown Store, Mall Store, Central Warehouse), Expiry Traker for Teams allows you to organize collaborators and products by dividing your operation into Stores.
This separation prevents mixing inventory from different locations and ensures that each collaborator focuses solely on products belonging to the unit where they work.
🔑 Key Concepts and Terminology
To understand how store organization works, it is important to know the terms used in the app:
- Administrator: The organization's manager. Has a global view of all stores, access to all registered products, and full permission to manage the workspace, add members, and configure access settings.
- Organization and Workspace: The central environment of your company that groups all stores, inventories, and registered members.
- Members: Invited collaborators who belong to your organization.
🔒 Access Restriction by Store
When an organization member is assigned to a specific store:
- Restricted Store Access: The collaborator can only view, register, edit, and work with products belonging to that assigned store. They will not have access to products in other stores of the organization.
- Adherence to Permissions: Beyond store restrictions, the specific actions the collaborator can perform within that unit (such as creating categories, editing brands, or deleting products) follow the individual permissions set by the Administrator.

📱 Step-by-Step: Assigning a Member to a Store
Configuring store assignment for collaborators must be performed using an Administrator account in the Expiry Traker for Teams app:
- Open the Expiry Traker for Teams app with your Administrator account.
- On the home screen, open the side menu and tap "Your workspace".
- On the workspace screen, tap "View members" to list the members of your organization.
- From the member list, select the collaborator you wish to link to a store.
- On the user details screen, tap the Store option, select the desired store, and save changes.
- After saving, the collaborator will be assigned to the selected store.
👁️ Home Screen Difference (Administrator vs. Member)
After assigning a store to a member:
- Member View: Upon opening the home screen in Expiry Traker for Teams, the member will exclusively see products, expiration alerts, and reports for the store to which they were assigned.
- Administrator View: The administrator maintains a global view of all units, with the ability to filter products by specific store or freely navigate between all registered stores in the organization.
